Our location is equipped for the new situation and adhere strictly to hygiene and cleaning regulations. With this meeting code we want to show that we take great care to create a safe meeting environment. Below we would like to inform you about the most important parts within our meeting code.
We send a pre-meeting e-mail with all the information needed a few days before the start. In thee e-mail you will find all necessary information about the location and measures we have taken. Please read it thoroughly.
Disinfection spots are there for you throughout different points at our location. We clean contact points with high regularity. Cleaned meeting rooms are labeled with a hygiene certificate after cleaning.
In the pre-meeting e-mail you will find all information needed about where you can park your car, which entrance you need to enter and where you will find your meeting room. In the meeting lounges we follow a special routing. This is indicated by signing on the floor. This route leads you along the coffee & tea buffet and the water point and brings you to your meeting room.
Our location has taken numerous measures to guarantee a 1.5 meter environment. Sub-sessions in the meeting lounges are not allowed. We ask your group to stay in the meeting room during your stay as much as possible. There are no individual workplaces in the meeting lounges. We ask participants to arrive not earlier than 15 minutes before the start of het meeting, and go directly to the meeting room.
Extend your meeting with a delicious lunch, snack or smoothie. We have made adjustments to the assortment. Methods of preparation and serving have been upgraded to the highest standards.
During your stay, our staff proactively monitors the risk and compliance of our meeting code.
Within our meeting code the guidelines of the government are leading. We would like to bring these to your attention:
Two days before the start of your meeting, we will send a pre-meeting e-mail to the contact person of your reservation. We explicitly ask you to forward it to all participants of your meeting.
All of our meeting rooms have good ventilation. Windows can be opened for fresh air. At our location we work with a climate control system, previously this system was tuned into recirculation of air. There are still many uncertainties about the possible spread of aerosols, an advice of the RIVM is good ventilation. We have therefore adapted our system to the supply and exhaust of direct outside air. This means that the recirculation function is switched off and we only use clean outside air.
Completely in accordance with the guidelines of the RIVM, we set up the meeting rooms to keep 1.5 meters. We will be more than happy to advise you about setup to make your meetings a great success.
On the table you will find a health checklist. These questions need to be answered by all participants. For approval we ask you to sign the list. If one of questions is answered with YES, we kindly ask this participant to continue the training at another time. If you are looking for a space for a sub-session, please use our terrace beside of our meeting lounges. If the weather permits, the terrace is accessible for these sessions. Of course we use the 1.5 meter rule also outside on the terrace. Sub-sessions in the meeting lounges are currently not allowed at all.
Instead of lunch buffet in the restaurant, we serve lunchboxes in your meeting room. We serve these boxes on a special table inside of the meeting room. We would like to point out that our employees are allowed to serve within 1,5 meter if the health check questions have been applied. Our staff will wear gloves when serving food.
In the meeting lounges we follow a special routing. This is indicated by signing on the floor. This route also leads you along the coffee & tea buffet and the water point. At the coffee/tea buffet you will find hand disinfectants.
The meeting lounges are cleaned on a regular basis, this can be upscaled if necessary. We request you to have your drinks in the meeting room and not in the meeting lounges.
In both of our meeting lounges you will find a toilet group. Main entrance to the toilets area are open, this to prevent contact with the door handle. Hand disinfectant is available at the entrance.
We indicated the doors which you can use with a green smiley. A red smiley means that the toilet is not accessible. Urinals for men are all out of use.
There is cleaning spray available to clean the toilet seat before use. In every toilet room the hygiene measures of the RIVM are clearly visible. Disinfection rounds at the toilet groups are scaled up.
Due to the tightened measures, the meeting rooms of Mitland Meetings will be closed until January 19 2021. Should anything change in the advice of the RIVM or the Dutch government, we will of course follow this advice and communicate this through our communication channels.
