We will gladly inform you about the possibilities for your meeting and advise you about a suitable set-up to make your meeting a great success. Our location is equipped for the new situation and adhere strictly to hygiene and cleaning regulations. With this meeting code we want to show that we take great care to create a safe meeting environment. Below we would like to inform you about the most important parts within our meeting code.


We send a pre-meeting e-mail with all the information needed a few days before the start. In thee e-mail you will find all necessary information about the location and measures we have taken. Please read it thoroughly.


Disinfection spots are there for you throughout different points at our location. We clean contact points with high regularity. Cleaned meeting rooms are labeled with a hygiene certificate after cleaning.


In the pre-meeting e-mail you will find all information needed about where you can park your car, which entrance you need to enter and where you will find your meeting room. In the meeting lounges we follow a special routing. This is indicated by signing on the floor. This route leads you along the coffee & tea buffet and the water point and brings you to your meeting room.

Social distancing

Our location has taken numerous measures to guarantee a 1.5 meter environment. Sub-sessions in the meeting lounges are not allowed. We ask your group to stay in the meeting room during your stay as much as possible. There are no individual workplaces in the meeting lounges. We ask participants to arrive not earlier than 15 minutes before the start of het meeting, and go directly to the meeting room.

Meeting packages

Extend your meeting with a delicious lunch, snack or smoothie. We have made adjustments to the assortment. Methods of preparation and serving have been upgraded to the highest standards.


During your stay, our staff proactively monitors the risk and compliance of our meeting code.

General important information

Within our meeting code the guidelines of the government are leading. We would like to bring these to your attention:

  • Keep 1.5 metres (two arms lengths) away from each other;
  • Cough or sneeze into your elbow, not your hands;
  • Always cover your mouth and nose with a tissue when you cough or sneeze. Throw used tissues in the trash and wash your hands;
  • Wash your hands regularly with soap and water;
  • Avoid touching your face;
  • Do not shake hands;
  • Stay at home with the following symptoms: cold symptoms (nasal cold, runny nose, sneezing, sore throat), Coughing, Shortness of breath, Elevated temperature or a fever (above 38 degrees Celsius), Sudden loss of smell and or taste (without nasal congestion);
  • Do you have a fever (temperature above 38 degrees Celsius) and/or stuffiness? Then also housemates stay home.

Our measures

  • We show extra information at various points within Mitland Meetings (flyers, posters, digital information screens). We aim to make guests aware of the importance of good hygiene and following the basic rules such as: keep a distance of 1.5 metres from other guests;
  • Disinfectants are available throughout different points at our location;
  • Each meeting room has its own disinfection kit which includes a box of tissues, hand disinfection and a surface disinfection spray;
  • All meeting rooms are located on the main floor. The use of elevator or staircase is therefore not necessary;
  • At the entrance of each elevator we have indicated a usage advice;
  • Windows can be opened for good ventilation;
  • All staff are regularly briefed on adapted protocols and working methods. Staff will stay at home in case of symptoms as indicated within the advice of RIVM;
  • Contact points are mostly shielded with plexiglass;
  • Parking tickets are available at several points within our location;
  • If needed an infrared thermometer is available to screen guests for illness;
  • All of our emergency response workers received an adjustment on the application of basic CPR during this pandemic. in accordance with the advice of the Dutch Resuscitation Council.

Pre-meeting e-mail & reception

Two days before the start of your meeting, we will send a pre-meeting e-mail to the contact person of your reservation. We explicitly ask you to forward it to all participants of your meeting.

  • We inform guests about the meeting room, the location of the room and which entrance you can reach this room;
  • Are you or your guests visiting us by car? We will direct you to a parking space close to the right entrance;
  • In the meeting lounges we follow a special routing. This is indicated by signing on the floor. This route leads you along the coffee & tea buffet and the water point and brings you to your meeting room;
  • The doors of the meeting room are opened upon arrival, a disinfected room key will be on the table;
  • We ask participants to arrive not earlier than 15 minutes before the start of het meeting, and go directly to the meeting room;
  • The door handle of the meeting room is provided with a hygiene certificate upon arrival;
  • Our room manager will introduce himself to you upon arrival and take you through the day. You can contact our room manager for all your questions.

Your meeting room

All of our meeting rooms have good ventilation. Windows can be opened for fresh air. At our location we work with a climate control system, previously this system was tuned into recirculation of air. There are still many uncertainties about the possible spread of aerosols, an advice of the RIVM is good ventilation. We have therefore adapted our system to the supply and exhaust of direct outside air. This means that the recirculation function is switched off and we only use clean outside air.

Meetings setup

Completely in accordance with the guidelines of the RIVM, we set up the meeting rooms to keep 1.5 meters. We will be more than happy to advise you about setup to make your meetings a great success.

In the meeting room

On the table you will find a health checklist. These questions need to be answered by all participants. For approval we ask you to sign the list. If one of questions is answered with YES, we kindly ask this participant to continue the training at another time. If you are looking for a space for a sub-session, please use our terrace beside of our meeting lounges. If the weather permits, the terrace is accessible for these sessions. Of course we use the 1.5 meter rule also outside on the terrace. Sub-sessions in the meeting lounges are currently not allowed at all.


Instead of lunch buffet in the restaurant, we serve lunchboxes in your meeting room. We serve these boxes on a special table inside of the meeting room. We would like to point out that our employees are allowed to serve within 1,5 meter if the health check questions have been applied. Our staff will wear gloves when serving food.

Meeting lounges

In the meeting lounges we follow a special routing. This is indicated by signing on the floor. This route also leads you along the coffee & tea buffet and the water point. At the coffee/tea buffet you will find hand disinfectants.

The meeting lounges are cleaned on a regular basis, this can be upscaled if necessary. We request you to have your drinks in the meeting room and not in the meeting lounges.


In both of our meeting lounges you will find a toilet group. Main entrance to the toilets area are open, this to prevent contact with the door handle. Hand disinfectant is available at the entrance.

We indicated the doors which you can use with a green smiley. A red smiley means that the toilet is not accessible. Urinals for men are all out of use.

There is cleaning spray available to clean the toilet seat before use. In every toilet room the hygiene measures of the RIVM are clearly visible. Disinfection rounds at the toilet groups are scaled up.
